December 6, 2019 by

In order to improve project performance, it’s essential to have accurate, quality reporting on progress and status. Tracking project metrics and key performance indicators (KPIs) allows your team to quickly check the status of the project and adjust as needed.

In this post, we’ll take a look at some things to keep in mind when reporting and a few examples of how BrightWork can help you.

Your project metrics reporting is only as good as the data

You know the saying “Garbage in and Garbage out” or in other words, bad input will result in bad output. The same applies to project and portfolio management. You will have many people updating and looking for project data within a SharePoint site. For this reason, it is important that all data entry forms in your site are easy to manage and consistent with the summary reports you need.

You should also make sure that the processes are in place to keep the information current. You want to make sure that the project management solution acts as a template and guides your users.

Know your Audience

Everyone involved in your projects and portfolios is busy. Having reporting in place that gives you a simple, one-line summary about each of your active projects is key. BrightWork Project Metric Tiles make it easy to display live, key information.

Metrics can be calculated to measure project performance in different ways, whatever is important to you. This could include things like schedule, cost, progress, and duration.

As your projects, and indeed portfolios grow, they will contain huge amounts of data. Your reporting is not about presenting data but presenting the right data and performance indicators for your organization.

Use High-Level Metrics Reports

Further to the previous point. It would be great to have a report that shows the entire health of the portfolio on one page. The helicopter, 30,000 feet view from above.

The use of graphical indicators can easily display the status of each project. Highly visible, roll-up summary, project status reports are key to successful portfolio management. They should be easily accessible and formatted in very various views to give you a clear, immediate picture into the status of your portfolio.

Another great way to get insights into your portfolios in BrightWork is through the Metric Scorecards which shows how things are changing over time and if they are improving or degrading.

Leverage Automated reports

Project managers, like everyone else involved, are very busy and have a minimal amount of time available to prepare reports. For this reason, it’s important to have reports generated from the project sites automatically. Reports shouldn’t require any additional effort from the project manager.

BrightWork automatically generates status reports from project data including one-page summaries for instant visibility.
