Edit a Report Filter

To edit a non-choice report filter:

1. Click the link on the Report Editor page to the report filter you want to edit.
2. Enter the caption for the filter that will appear on the report.
3. Specify an optional Default value.
4. Click Update.

To edit a choice report filter:

1. Click the link on the Report Editor page to the report filter you want to edit.
2. Enter the caption for the filter that will appear on the report.
3. Select Choice (menu to choose from).
4. Select the Choice Type and supply the appropriate details.
   • Values
     Enter the filter values into the text box. Ensure that each value is on a separate line.
   • Library File
     Enter a server-relative URL to the XML file
     For example, /sites/mysite/library/values.xml
     This option allows you use an XML file stored in a document library on the server to store the filter values. The XML file is identified by a server-relative URL.

     The source file is a simple XML file and can only specify one set of choice values. See below for an example.

   • Note:

     The advantage of this option is that multiple reports can all refer to a common list of values maintained in one place. All report users should have at least Read access to this document library.

   • Site List
     Enter a List Name and a Column Name.
     This option allows you to use a choice column in a list in the same web the report is located in to store the filter values.

   • Note:

     Only choice columns are supported. Only values that have actually been selected or specified in a column in an existing list item will be available for selection, i.e. if you specify a choice column as the source column, the only values that will be available in the filter will be values that exist in list items in the list. All report users should have at least Read access to this list.

   • Server List
     Enter a server-relative URL to the List
     For example, /sites/mysite/Lists/Project Tasks/AllItems.aspx) and a Column Name.
     This option allows you to use a choice column in a list in on the server to store the filter values.

   • Note:

     Only choice columns are supported. Only values that have actually been selected or specified in a column in an existing list item will be available for selection, i.e. if you specify a choice column as the source column, the only values that will be available in the filter will be values that exist in list items in the list. All report users should have at least Read access to this list.

   • Server File
     Enter a URL to the XML file
     For example, /_layouts/brightwork/custom/Choice.xml - if the XML file was placed in a folder on the server at <Drive>:\Program Files\Common Files\Microsoft Shared\web server extensions\12\TEMPLATE\LAYOUTS\BrightWork\custom).
     This option allows you to use an XML file stored in a virtual directory on the server to store the filter values.

     The source file is a simple XML file and can only specify one set of choice values. See below for an example.

   • Note:

     All report users should have at least Read access to this location.

5. Specify an optional default value.

   Note:

   If you specify a default value that does not exist in the list of values, this value will be displayed in the menu when the report loads. This allows you to insert text like "Select Value" in the menu.

6. Click Update.
