Lids Replace Project Spreadsheets with SharePoint Reporting Dashboards
Lids was growing very fast and was setting up a PMO to get to grips with the increasing number of projects they needed to manage. They could have over 100+ projects on the go at any given time, and that number was only set to increase. There were no formal project management processes or tools in place, but Lids had just implemented SharePoint which they wanted to leverage for project management.
Their biggest struggle was getting reports to Senior Executives. Prior to BrightWork, Lids used Excel spreadsheets to manage the projects, which made collaboration and reporting quite difficult. In particular, they were looking for a solution that could handle:
- Portfolio Management
- Resource Assignment Tracking
- Project Prioritization.
Lids chose to deploy BrightWork on SharePoint as their project and portfolio management tool of choice. With BrightWork, they set up a Project Office in SharePoint divided into 5 departments within the organization. Each department had many subcategories based on the different functions of that department, and some of those functions had their own sub-sites, creating quite a complex hierarchy, which was otherwise quite difficult to manage using numerous different spreadsheets.
Lids use the Structured Template for their project site, in which they capture and manage project plans, track automated metrics, manage risks and issues, and status reports. Each department in Lids also carry out work tracking to manage the day-to-day operational tasks.
Lids also added a Project Request management system in SharePoint to help capture ideas for projects and prioritize and approve new projects.
With the deployment of BrightWork on SharePoint, Lids has experienced far closer collaboration among project teams and across departments. Using the BrightWork reporting dashboards in SharePoint, executives are now able to access meaningful reports in an easy and timely manner.
Possibly the biggest benefit of the solution is the decommissioning of the project spreadsheets with streamlined reporting in the SharePoint environment.
Generally the tool has been well adopted and well received by users who are happy not to be using so many spreadsheets. Executives are also happy to see the 100’s of projects get under control and reported on effectively.
Deployment note: Lids originally deployed BrightWork on SharePoint 2010, but have successfully upgraded to the BrightWork on SharePoint 2013.
