Task Management Templates
Tasks exist on almost every project in one shape or other. The question to answer is what shape. Some teams require lots of task structure and some require very little. With pmPoint each template comes with a default task list. The default task list in the template is always one of four types described below. The task list can be used as is, can be customized or can be swapped out and replaced with a different one.
Task – Simple
Out of the box SharePoint comes with a simple Project Tasks list that is used in some of the pmPoint templates in a customized fashion (e.g. the Work Tracker template). This list has two advantages – it is very simple and it integrates with the Microsoft Outlook 2007 calendar and task view.
Task – Advanced
pmPoint ships with a BrightWork Project Tasks list that adds task management capabilities to the SharePoint platform over and above what comes with the SharePoint Project Tasks list, includes the ability to hide columns, automated assignee email notification and per item unique referencing. The BrightWork Project Tasks list also allows you to add tasks without defining dependencies and parent child relationships, and view the tasks in multiple views and reports, including a Gantt chart.
Project Schedule
The Project Schedule list allows you to quickly and easily create a hierarchical (phases, milestones, iterations, summary tasks and project tasks) work breakdown structure (WBS) that allows values (% Complete, Late flag, Planned and Actual Durations, Costs and Dates etc) to be propagated, aggregated and auto-calculated up the hierarchy as the project progresses. Summary Items display aggregated information about their child items.
The Project Schedule list maintains consistency between dependent items in the hierarchy. Changes to a parent or child item can be made to roll up or down the hierarchy.
Project Schedule Versions
The Project Schedule list is available in a Simple and an Advanced version.
This simpler WBS (work breakdown structure) version of the project schedule list uses a simpler configuration. For example it hides certain fields and useful for smaller projects that require less management and do not need to track all variables.
The more advanced Project Schedule exposes all of the available fields and facilitates the tracking of estimated durations, estimated work and estimated costs.
Project Schedule Features
Both the Simple and the Advanced versions of the Project Schedule list share the same feature set as follows:
- Microsoft Project Import and Export
- Work Breakdown Structure
- Summary Items with Parent / Child Relationships to any Level
- Predecessors
- Structured Hierarchical Views
- Gantt Views
- Recalculate Facility
- Support for both Duration and Date based Scheduling
- Background recalculate
