BrightWork Customer Case Study: Terremark

Customer Overview
Terremark Worldwide Inc. ("Terremark"), is a leading operator of integrated internet exchanges and a global provider of managed IT infrastructure solutions, which delivers a portfolio of services from seven locations across the U.S., Europe and Latin America, supporting customers' mission-critical operations. Terremark's flagship facility, the NAP of the Americas, is the model for carrier-neutral internet exchanges and datacenter operations. The six-story, 750,000 square foot fortress-style facility was planned, designed and developed by Terremark to house the world's most advanced Network Access Point (NAP). Terremark customers benefit from a myriad of services, including Facility Services, Managed Services, Professional Services, Managed Hosting and access to the world's leading carrier networks.
Business Problem
Some of the issues Terremark face as a young, rapidly-growing worldwide company:
- One Unified Goal with Multiple Segregated Projects: Larger multiple project manager implementations that support a new facility build out. Each project manager has custom needs for their project but senior management need a quick daily overview of all the projects and deliverables. Terremark found MS Project was too complicated, not allowing the segregated PM's to co-ordinate their data on a consistent reporting basis.
- Customized Business Process Project: Tracking a new managed service idea through an approval process from conception to inception, allowing both the senior management team and finance group authorization privileges throughout the process. After an idea is approved, Terremark need to track all implementation tasks with a project management tool.
- Daily Application Requests and Tracking:
Managing and tracking a large amount of application
requests for multiple platforms that allow the applications
development group to prioritize, track and plan short
and long term development. Terremark require a dashboard
management view that allows them to view and adjust
the group's workload accordingly.
- Process and Procedure Uniformity: Creating project templates and procedures for repetitive implementations to reduce project management time and training expenses.
- Tight Budget: Keeping cost of implementing and training for the project management product low but flexible to deploy as well as able to migrate and upgrade to Microsoft SharePoint 2007.
Business Solution
Terremark use Microsoft SharePoint as their intranet portal, to share department and project information, and wanted a project management solution that was integrated with Microsoft Office and Outlook (their previous project management tools). Terremark selected BrightWork Solutions for project management in SharePoint, knowing it would seamlessly add functionality to their customized intranet without a large investment in training or administrative upkeep. Terremark also wanted an enterprise reporting capability that would allow multiple project managers to have segregated project data that collaborated into one major project, and could easily be reported back up to senior management. The BrightWork Solutions package allows Terremark to customize project solutions that can then be turned into templates for future like projects. Within a short time span Terremark were able to create customized project sites with hands on training and deployment consultation, including:
- Multiple Department Business Process Request Site
- Business Process Request Site
- 2 Project Sites
- Large Project Rollup Site with multiple project sites
- 2 Task Sites for quick 30-60 day projects
- BrightWork Project Request and Tracking site (for BrightWork administrators)

BrightWork Announces Support for Enhanced
Collaborative Project Management
and Reporting with Microsoft Office Project Server 2007
BrightWork Reporter and BrightWork Solutions improve organizational performance through cross-project reporting and the use of industry-standard methodologies
Redmond, WA — October 20, 2006 — BrightWork, the first and leading global provider of standards-based collaborative project management and enterprise reporting solutions on the Microsoft SharePoint platform, announces that the next release of its flagship products - BrightWork Reporter and BrightWork Solutions - will enhance the collaboration capabilities of Microsoft Office Project Server 2007. Office Project Server 2007 enables broader and faster adoption through improved collaboration by delivering an out-of-box Microsoft Windows SharePoint Services (WSS) 3.0 site with each project. For visibility into the work going on across multiple sites, BrightWork Reporter delivers the only tool for roll -up reports on the tasks, i ssues, and other project-related information. In addition, these SharePoint sites can be upgraded to BrightWork Solutions, which ships with four pre-built templates and a fully customizable framework, to bake-in more process to an organization’s project management discipline.
“Organizations of all sizes are pushing harder than ever to create and execute winning strategies for growth and innovation. Managing work and projects is a critical component to deliver on those strategies,” said Eamonn McGuinness, CEO, BrightWork. “A project management solution based on Office Project Server 2007, BrightWork Reporter and BrightWork Solutions that supports best practice processes, reporting, and collaboration can significantly increase success in delivering projects on-time, on-budget, and with high impact.”
Add Multi-Project Reporting with BrightWork Reporter: Project sponsors, managers, and participants are typically engaged in multiple projects at any given time. As such, they are challenged to manage their work items which are distributed across the Office Project Server 2007-installed WSS sites. BrightWork Reporter brings their critical information together in one place from any number of sites. For example, project managers can look across their projects and quickly identify immediate actions such as overdue work items or projects in danger. BrightWork Reporter ships with over 50 pre-built reports which can be easily customized, sent to a distribution list, exported to Microsoft Office Excel, or printed in a user-friendly format. Furthermore, report ed data can be publishe d to Microsoft SQL Server Reporting Services for more sophisticated reporting and analysis.
Bake-in process using BrightWork Solutions: Some organizations follow an industry-standard process to run their projects; others have their own; but, many would actually benefit from implementing some degree of process. BrightWork is the only vendor licensed for the Microsoft Solutions Framework (MSF), based on the Project Management Institute’s (PMI) standards. BrightWork Solutions ships with four pre-built templates based on MSF: Issue Manager, Business Project Manager, IT Project Manager, and Agile Software Manager. In addition, BrightWork Solutions delivers a customizable project management framework to meet each customer’s unique process requirements. Office Project 2007 customers can upgrade the out-of-the-box Windows ShareP oint Services 3. 0 sites to one of BrightWork’s pre-built templates or create their own. Customers can also add BrightWork Reporter for roll-up reporting across all sites.
Import BrightWork Solutions into Office Project Server 2007: Organizations can use BrightWork Solutions as a launching point to use Office Project Server 2007. As organizations increase their project management discipline and maturity, they can import BrightWork Solutions project data into Office Project Server 2007. They can then take advantage of the advanced resource, cost, time, and portfolio management available with the enterprise project management solution provided with Office Project Server 2007, while continuing to benefit from the collaborative environment and best practice methodology built into BrightWork Solutions.
“We’re excited and gratified that BrightWork is one of our ‘First-to-Market’ solution partners for Microsoft Office Project 2007,” said Michael Angiulo, General Manager Microsoft Project Division. “This great achievement and distinction recognizes their solid commitment to lead the market by participating in quality development practices as part of our Technology Adoption Program (TAP). Microsoft’s success depends heavily on leading companies like BrightWork to build specialized solutions on our platform that meet the most demanding customer needs across a broad range of markets.”
The upcoming release of BrightWork Reporter and BrightWork Solutions supporting the Microsoft Office System 2007 will enter beta in Q4 2006 and be generally available in Q1 2007. Today, current Office System 2003 customers can purchase BrightWork v3.5 and receive free upgrade rights to the next release.
Announcing BrightWork PMO - BrightWork's new Project Management Office for SharePoint
Many customers have told us that
they currently run a Project Management Office,
or are in the process of setting up a PMO. These customers
have also invested in SharePoint and in most cases
have already deployed or plan to deploy it as their
chosen collaborative platform.
That is why, this month, BrightWork is releasing a
PMO solution for SharePoint that enables organizations
to connect and manage all of their project information
in one enterprise application. With the new BrightWork
PMO, customers can gain needed visibility across their
range of projects. In doing so, project directors and
managers can get an early warning if projects are off-course,
ensure valuable team members are appropriately assigned
to projects, and provide important visibility to upper
management on project progress and impact.
Key BrightWork PMO capabilities include:
- Centralized View of Projects: Based on the BrightWork Project Management Framework, this site provides a centralized location to manage all of your projects, whether those projects span your department, division or entire organization.
- Role-Based Portfolios: Project Managers can now easily create an area to manage their own collection of projects.
- Project Requests and creation: Simple processes to submit new project requests and to create new project workspaces.
- Templates: Four pre-built solutions make it easy to establish different types of projects depending on project complexity and function, e.g. IT project management
- Flexible Reporting: Ability to report across multiple projects and lists
- Project Archiving: Store important historical information and results within easy reach and easily apply successful project workspaces to new projects.
BrightWork PMO will be available for purchase (and/or download to existing customers) by the end of October.
Spinnaker Empower the Government of Montenegro with BrightWork's Enterprise Reporting Capability
BrightWork's newest partner, Spinnaker New Technologies, recently announced their successful deployment of BrightWork Reporter in the Government of Montenegro's SharePoint Installation. Spinnaker is a software and system integrator operating within the ComTrade Group, the leading ICT firm in Southeast Europe. Founded in 2001 and headquartered in Belgrade, Spinnaker currently operate across Serbia-Montenegro, Bosnia Herzegovina and Macedonia.
Problem:
In June 2006, Montenegro split from Serbia to become the world's newest state. One of the newly formed administrative divisions - the Committee for Economic Policy (KEP) - was assigned responsibility for overseeing the preparation of Cabinet meetings for the Government of Montenegro. The Committee's primary tasks included research into topics for discussion, preparation of meeting agendas and it was also charged with recording meeting conclusions, follow-up tasks and project assignments. One critical requirement was that all reports from each meeting be computerized and retained for future reference. Considering the importance of many of these documents, combined with the quantity of tasks managed by the Committee, a solution was urgently required that would enable the committee's management team to securely store, manage and report across these confidential documents.
In order to keep track of agendas, conclusions and follow-up assignments from each Cabinet meeting, the Committee for Economic Policy installed Microsoft Office SharePoint Portal Server. Using customized sites and lists, the Committee was easily able to store the required meeting documentation however, while standard WSS web parts met their collaborative requirements, they lacked the ability to:
- Gather and rollup data from different WSS sites and/or lists
- Report across thousands of SharePoint sites
- Set up reports to run and be emailed on a scheduled basis
Solution:
Supported by Spinnaker, the Committee
for Economic Policy deployed BrightWork Reporter on
top of their existing SharePoint installation. BrightWork
Reporter extends SharePoint from a foundation for collaboration
into a highly structured reporting environment and
delivers the only SharePoint web part that enables
customized rollup reporting across multiple SharePoint
sites, lists and fields.
BrightWork Reporter enabled the Committee's management
team to co-ordinate high quantities of projects, assign
work items and set timelines all in one place. The
latest version of BrightWork for SharePoint also includes
the ability to schedule reports that are automatically
emailed at specified times, which was vital to departmental
managers in their preparation for upcoming meetings.

Tetley Leverage BrightWork Solutions
for Business Project Management
in SharePoint
The Tetley Group have been
manufacturing and distributing tea for 160 years. Along with their parent company,
Tata Tea, they are the world's second largest tea company. Based
in the UK, with operations spanning the globe, they
now have a variety of products for sale in over 40
countries worldwide. Tetley have a long tradition of
innovation, as the organization that first introduced
tea bags to the UK over 50 years ago and also developed
the first round tea bag. They now have a wide range
of products, from the original Tetley black tea in
teabags to fruit teas, spicy tea lattes and chilled
ice teas.
In the face of increased global competition, Tetley
continue to maintain their pacesetting trend by placing
high priority on New Product Development. This process
is managed by the Planning and Projects Department,
which recently identified that their reliance on spreadsheets
and word documents was becoming an increasingly inefficient
way to manage new product development. Tetley therefore
needed a more effective way to collaborate on projects,
track project progress and facilitate communication
between its globally diversified workforce.
To solve its project management and collaboration challenges, Tetley deployed BrightWork Solutions for Project Management on the SharePoint platform, which includes 4 SharePoint solutions for managing work and projects. Tetley then selected BrightWork's Business Project Manager, an out of the box SharePoint solution designed to empower organizations to manage business projects effectively and built around the best practice guidelines of the Microsoft Solutions Framework. Implementing BrightWork Solutions for SharePoint enabled Tetley's project managers to co-ordinate high quantities of projects, assign work items and set timelines all in one place. Critically, visibility into overall project status has been vastly increased, with top level management now able to push project information from across the entire department into a single report that can be scheduled to arrive at specified times.

BrightWork Launch the Next Generation of Project Management and Enterprise Reporting Solutions for SharePoint
New Version 3.5 Enables more Efficient Distribution, Management and Reporting of Business Information across the Enterprise
[Seattle, WA] — [August 8th 2006] — BrightWork Inc., the leading global provider of project management and enterprise reporting solutions on the Microsoft SharePoint platform today released v3.5 of its two flagship products, BrightWork Solutions for Project Management and BrightWork Reporter for Enterprise Reporting in SharePoint. This release represents a major update and is set to transform the way organizations manage projects within their SharePoint environment and how they report on SharePoint list data across the entire enterprise.
BrightWork Reporter v3.5 delivers the only SharePoint web part that enables customized rollup reporting across multiple SharePoint sites, lists and fields and the ability to publish to SQL Reporting Services for enterprise level reporting. This new version also includes the ability to schedule reports that are automatically emailed at specified times.
BrightWork Solutions v3.5 provides the first project management framework and solutions catalog in SharePoint that is based on a defacto project management standard, ie. the Microsoft Solutions Framework. With phenomenal growth in the adoption of SharePoint worldwide, organizations are seeking more advanced and deeper solutions to manage business processes and the work of dispersed teams. This release of BrightWork Solutions v3.5 makes project management in SharePoint possible and includes a suite of pre-built project management solutions for robust Issue Tracking, Business Project Management, IT Project Management, and Agile Software Development Management. BrightWork Solutions also contains the enterprise reporting capabilities foun d in BrightWork Reporter 3.5.
Highlights of BrightWork Reporter v3.5 include:
- Cross list, cross site roll-up reporting capability
- Reports can be emailed, printed, exported to a formatted excel document or scheduled to email at specified times
- 50+ pre built and ready to use reports which are easily customizable, without programming, through a simple user interface
- Ability to easily create new custom reports with our user friendly XML structure
- Facility to feed list data to an SQL Reporting Services cube for Enterprise analysis and comparison with non SharePoint data
New capabilities in BrightWork Solutions v3.5 include:
- Owner Role Update
The ‘Owner Role Update’ web part enables users to assign and reassign work items based on the Owner Role that the work item belongs to. Once the user assigns an Owner Role to a holder, all the work items belonging to the Owner Role in question will be automatically assigned to the holder. This is particularly useful in MSF led projects where the work items assigned to each Owner Role tend to remain static from project to project. - Project Summary Propagation
The ‘Project Summary Propagation’ web part enables users to automatically update the % Complete column in the Project Summary and to also automatically update the Status Indicator column, if a project is late or in danger.
“This release is significant in that it delivers the first Enterprise Reporting tool and Project Management Framework for an organization’s SharePoint environment,” said Eamonn McGuinness, CEO, BrightWork. “Organizations can use BrightWork to quickly create and manage business projects using best practice guidelines provided by the Microsoft Solutions Framework without the need for custom programming. Thermal Dynamics Select BrightWork Solutions to Automate Quote Generation Process
Headquartered in Ontario, California, Thermal Dynamics Corporation is an automotive parts manufacturer specialising in transmissions, power steering, hydraulic fluid and Engine Oil Coolers. Founded in 1957, as one of six operating divisions of Dunham-Bush (est. 1903), Thermal Dynamics' expertise in cooling technology has kept them at the forefront of the industry for nearly five decades, supplying top automotive producers such as Ford, GM and Harley Davidson.
Since 1996, when Thermal Dynamics International established its first manufacturing joint venture in mainland China, the organization continued to expand its global production and distribution capability. This extra capability resulted in a vastly increased number of orders being received, each of which required the creation of an individual production quotation. However, underlying inefficiencies in the quote generation process meant that Thermal Dynamics' IT Management team were assigned the task of automating the entire process, from conception through to approval or rejection. Top level management also stipulated that they needed to be able to quickly and easily view status reports as well as roll up all quotes and production tasks into one report. Security was another crucial factor with emphasis placed on a solution that could provide a secure area to manage highly confidential documents.
Thermal Dynamics selected BrightWork Solutions for Project Management in SharePoint to manage their quotation process. Specifically they deployed 'IT Work Manager', one of the six business solutions included in the BrightWork Suite and built around the best practice guidelines of the Microsoft Solutions Framework (MSF). Without any programming effort Thermal Dynamics were able to tailor this solution to their specific needs. Production quotes are now generated using a highly customized project template, containing pre set entry fields for each stage of the process, that has saved time and eliminated duplication. BrightWork has also helped Thermal Dynamics automate their quote to production process, so that when quotes are approved, the Engineering Department is automatically notified and production initiated. With BrightWork's powerful rollup reporting, management now has much greater visibility into the project status for each quote while related documents are more organized and easily accessible so that project members can quickly find the information they need. These benefits have helped to significantly improve Thermal Dynamics' production efficiency and reduce costs.

Building High-Grade Applications Using Office SharePoint Server 2007
here are many advances in each of the products in the 2007 Microsoft Office system that make it a compelling platform on which to build applications and products. Enhancements in Microsoft Windows SharePoint Services, Office SharePoint Portal Server, and Office Project Server in particular have enabled faster application development. Presented by Eamonn McGuinness, CEO of BrightWork, a recorded webcast detailing these changes and how they can be used is now available from Microsoft's MSDN site.

Sneak Peek: BrightWork Reporter v3.5
Exporting reports from BrightWork Reporter to SQL Reporting Services
One of the ongoing limitations with SharePoint (including SharePoint 2007) is its performance when reporting across hundreds of sites and lists and/or reporting on thousands of items.
Irrespective of whether the reports are generated via a third party tool or an internally developed web part, reporting on large volumes of SharePoint data has finite limits in terms of performance. Today, it is suggested users export the information to database environments designed for reporting, such as OLAP Cube databases using SQL Server Reporting Services to generate the reports/views.
In the upcoming release of BrightWork Reporter 3.5, we address this reporting performance issue by enabling our reporting engine to source and roll-up data across multiple SharePoint Lists and Sites and then export these reports to SQL Reporting Services. The result is high performance reporting on SharePoint data.
BrightWork Reporter customers will also be able to schedule these reports to run at pre-determined times ensuring the data is current when the reports are requested.
BrightWork Reporter 3.5 will release week 4 July, 2006. Contact info@brightwork.com for evaluation details.
